Patomak is seeking a professional to fill the Executive Coordinator position in our Washington, D.C. office. The Executive Coordinator plays an integral role in supporting the success of Patomak by providing a variety of administrative, research, and public affairs services to our Senior Executives. The successful candidate will thrive in a team environment, provide excellent customer service, exercise discretion and diplomacy in all interactions, remain flexible, and proactively anticipate and manage challenges.

The Executive Coordinator will provide assistance for Patomak’s Senior Executives, supporting two or three senior-level individuals. In addition, this role will coordinate executive-level meetings with senior financial services industry leaders in a fast-paced environment and support the management of important relationships with business leaders and clients. Overview of Job Duties:

  • Manage calendars and schedules; handle incoming scheduling requests from external parties and clients (including senior financial firm executives); schedule internal meetings.
  • Coordinate and book travel arrangements; proactively manage domestic and international travel needs, understanding travel preferences and monitoring flights.
  • Support thought leadership initiatives and special projects of Patomak’s senior leaders.
  • Provide mailbox management, including providing summaries of correspondence; provide Outlook email support; monitor and respond to email based on preference of senior leaders.
  • Maintain Patomak contact lists.
  • Deliver exceptional administrative support and customer service in a team-based environment.
  • Manage time and expense activities for Patomak’s Senior Executives; enter and submit on behalf of Patomak’s Senior Executives.
  • Provide administrative office support such as answering office phones, welcoming guests upon arrival, and maintaining office calendars.

Education and/or Relevant Experience:

  • 1-3 years of experience as a paralegal, as a legislative aide (or similar role), or in the financial industry. Exceptional academic credentials can substitute for experience.
  • Previous experience providing support to senior executives or decision-makers in a fast-paced environment is a plus.
  • Bachelor’s degree required. Undergraduate GPA of over a 3.60 is preferred.
