Job Title: Executive Coordinator
Job Type: Full Time (in office 5 days/week)

Patomak is seeking a professional to fill the Executive Coordinator position, which will play an integral role in supporting the success of Patomak by providing a variety of administrative and research support services to members of our Executive Committee in New York and maintaining the cohesiveness of the office. Overview of Job Duties:
- Manage calendars and schedules of senior team members, including coordinating with the offices of senior financial firm executives.
- Book domestic and international travel, including flights, accommodations, and necessary transportation, ensuring cost-effectiveness and alignment with Patomak’s expense policies.
- Prepare and submit expense reports, ensuring compliance with company policies.
- Complete and manage timesheets for designated senior staff.
- Join meetings with senior leadership to support firm operations.
- Conduct research on potential clients operating in the financial sector.
- Track and document business development efforts, including sending reminders to employees on meeting deadlines and maintaining accurate records of activities, contacts, and outcomes.
- Plan, organize, and execute internal and external events, including logistics, invitations, and any follow-up items.
- Supervise intern classes, including onboarding and performance oversight.
- Manage security registers, visitor logs, and access protocols to maintain a secure office environment and liaise with service providers as needed.
- Provide administrative office support such as answering office phones and welcoming guests.
- Order and maintain inventory of office supplies, snacks, and other essentials to ensure a functional workplace.
- Manage sensitive and confidential information appropriately and with a high level of discretion.
Qualifications:
- Bachelor’s degree required.
- 3-5 years of experience, preferably in a similar role at another consulting firm, law firm, or financial services firm, is required.
- A basic understanding of financial markets and/or the U.S. public policy process.
- Relevant experience in the financial industry or a fast-paced public policy organization in a role supporting executives is a plus.
Skills & Abilities:
- Strong writing, editing, and copy-editing experience.
- Proficient with Microsoft Word, PowerPoint, and Excel.
- Basic IT knowledge.
- Keen attention to detail.
- Strong organizational, time management, and problem-solving skills.
- Ability to deliver exceptional administrative support and customer service.
- Ability to work well in a team environment.
- Pro-active and curious.

Salary Range:
$80,000-$100,000
Salary will be commensurate with experience, and employee will be eligible for an annual performance bonus based on individual performance and firm performance.
